Privacy Policy

Life2Media, LLC ("Civic Memory Vault," "we," "us") operates civicmemoryvault.com. Life2Media Foundation, a nonprofit, delivers educational and community programs (such as Speak to Your Future) using this platform under agreement with Life2Media, LLC.

The short version

Your memories are yours. We collect what we need to turn your recording into a story you control, we tell you exactly where it goes, and you can see it, export it, or delete it at any time. We do not sell your data.

What we collect

  • Account info: email, display name, and a handle, when you create a vault.
  • Your memories: the audio you record, the exact transcript of it, any photos you attach, and the AI-generated summary and composed storybook made from them.
  • Contributions to a Story Lab: if you add a memory to someone's lab, we store your memory, the name you give, and (optionally) your relationship to the subject.
  • Guest contact leads: if you contribute without an account and ask us to send you the finished storybook, we store the name and email you provide, solely to send you that storybook.
  • Technical data: basic sign-in/session data needed to operate the site. We do not use third-party analytics or advertising trackers.

How your recording is processed (AI disclosure)

  • Your audio is sent to OpenAI to produce a transcript. We keep the verbatim transcript and you can always view it.
  • The transcript is sent to Anthropic (Claude) to produce the summary and, when you compose, the storybook. The AI is instructed to preserve your perspective and not invent facts; the original transcript is always retained so you can compare.
  • These providers process this content on our behalf as sub-processors, and we do not permit them to use your content to train their models.

Where it's stored & who can see it

  • Content is stored with Supabase (database + private file storage) and the site is hosted on Vercel. Media files are private and served only via time-limited signed links.
  • You choose the audience for anything you publish: Owner only, Lab contributors only, or Public. A private memory's content is never woven into a public story.

Your choices & rights

  • Access & export, correct, and delete your content. Deletion is immediate and removes the item and its derivatives (transcript, summary, media, and its use in future compositions); residual copies roll off our backups within the backup cycle described below.
  • Depending on where you live, you may have rights under CCPA/CPRA (California) or GDPR (EU/UK), including access, deletion, and the right not to have personal data sold — we do not sell personal data. To exercise any right, contact privacy@civicmemoryvault.com.

Retention

We keep your content while your account is active and delete it on request. Unclaimed guest captures are kept 10 days then purged. Deletions are immediate; backups roll off on a 7-day daily cycle.

Minors

The service is for adults 18 and older. We do not knowingly collect personal information from anyone under 18 through the app. Minors participate only through supervised in-school programs (such as "Speak to Your Future") run by Life2Media Foundation, under signed school authorization and parent/guardian permission — never by creating their own accounts.
